Sample SOPs

I have always had a keen interest in organizational structures and take pleasure in understanding the official workflows.

This post is a short sample from my freelance work for a mid-tier advertising company. I have always had a keen interest in organizational structures and take pleasure in understanding official workflows. Basically, I drafted the Standard Operating Procedures (or SOPs) for their Public Relations (or PR) department. Also, they were kind enough to allow me to publish it.

Description of PR Department:

The PR Department is responsible for handling all public, guest and media relations undertaken by the firm. Off-duty and On-duty placements are catered to wherever required. The PR Department acts as a liaison between the firm’s Board of Directors and external influences in the form of personnel, services etc.

Roles & Responsibilities:

Public affairs specialists deal with internal audiences and external publics on a routine basis. It is necessary that all responsibilities be dealt within the given deadlines to portray professionalism. The Department as a whole function when individually posted members fulfil their duties. For crisis situation, delegating specific responsibilities to certain members in minimum amount of time to avoid delays.

Director:

  • Responsible for maintaining and delegating an appropriate workload
  • Supervising all past and current relations observed by the firm
  • Mentoring candidates in selected time slots
  • Being a representative on-scene who will act as a spokesperson

Deputy Director:

  • Handling operational infrastructure in the absence of the Director
  • Coordination with the HR department for hiring of team personnel
  • Coordination with media visits and social media updates
  • Developing communication materials (fact sheets, briefing points, etc.)

Team Member:

  • Maintaining highest level of behaviour
  • Apply knowledge of known methods to deal with a crisis situation
  • Draft and distribute information through defined means
  • Develop communication materials (fact sheets, briefing points, etc.)
  • On-spot decision making for dynamic situations
  • Answering phone calls and messages
